    Article summary

    You have various options for configuring a notification in the workbench:

    • Internal email notification

    • Internal email notification targeted by region

    • External email notification

    • Email notification with individual subject and text

    💡To configure an email notification, you need at least one contact form in the Form Page section.


    Internal email notification

    An internal notification is used to inform people within your organization about incoming contact requests (e.g. sales, customer support, etc.).

    1. In the Lead section, click on New Mail Config.

    2. Enter a name in the field Sender. This appears as the e-mail sender.

    3. In the Recipients field, enter a recipient address. Multiple email addresses must be separated by a comma and a space (example1@mail.de, example2@mail.de)

    4. Under Trigger, select the contact form that should trigger the notification.

    5. Select admin@foxbase.de as SMTP user.

    💡Do you need an individual SMTP user? Your CSM support will be happy to help you.

    1. Under Header template, select a template for the subject (default: request_notification_mail_subject).

    2. Under Body template, select a template for the message text (default: request_notification_mail_body).


    Internal email notification targeted by region

    An internal notification is used to inform people within your organization about incoming contact requests. In the contact form, you can also set up a field for the country or zip code of the selector user. Foxbase then sends the notification to different email addresses depending on the user input.

    Create and import CSV with regional contact data

    1. Download the following template:

    2. Open the file with Excel.

    3. Enter the information on the regions (e.g. zip code and / or countries etc.) and the email addresses of the contact persons (e.g. from the sales team) in the columns. You can customize the column titles depending on the application.

    4. Click on File > Save as and select the CSV UTF-8 format.

    💡The platform compares the selector user entries from the contact form with the information from the CSV file one after the other. For example, you can enter only the first two digits of the zip code in the postcode column. This ensures that all zip codes entered in the contact form are compared in the first two digits and FoxBase sends all inquiries from one city to one contact person.

    Configure e-mail notification with targeting by region

    1. Open the Data Sources area in the workbench.

    2. Under New Data Source, import the CSV file with the regional contact data (see previous section).

    3. Switch to the Lead area and click on New Mail Config.

    4. Click on the blue arrow next to Recipients.

    5. Configure the line If

      1. Under Source select the option form.

      2. Under Form Page select the relevant contact form.

      3. Under Form field, select the field from the contact form that should be used for email targeting (e.g. zip code, country, etc.).

    6. Configure the line =

      1. Under Source select the CSV file with the regional information.

      2. Under Column select the column that should be used for email targeting (e.g. zip code, country etc.).

    💡For example, if you have selected the zip code in the If line, then select the column with the information on the zip codes in the = line.

    1. Configure the line then use

      1. Under Column, select the column that contains the email addresses.

    2. Configure the Sender, Trigger, SMTP user, Header template and Body template fields as described in the previous section.


    External email notification

    An external notification is used to send selector users a confirmation of their request and a summary of the results. FoxBase will send the notification to the email address entered in the contact form.

    1. In the section Lead, click on New Mail Config.

    2. Enter a name in the field Sender. This will appear as the sender in the email notification.

    3. Enter the following handlebar into the field Recipients: {{formData.email}}

    💡 Make sure that the input field for the email address (Input name) within the area Form Page exactly matches the entry in the handlebars. In the following example, email from the Input name field corresponds to the name in the handlebar.

    1. Under Trigger, select the contact form that is to trigger the e-mail notification.

    2. Select admin@foxbase.de as SMTP user.

    1. Under Header template, select a template for the subject (default: mail_to_customer_on_request_subject).

    2. Under Body template, select a template for the message text (default: mail_to_customer_on_request_body).


    Email notification with individual subject and text

    Instead of the standard templates, you can use a customized subject and text for the notifications.

    1. Inform CSM support about your request (csm@foxbase.de).

    💡<1>We need to activate the individual templates in the system. The process requires a lead time of two weeks.

    1. Download the following template:

    1. Customize the template as desired. Follow the instructions in the document.

    2. Send the document to CSM support.
